Connect to email

The PSIcapture Configuration: Connections tab is designed to set up global connections to email accounts that can then be used across multiple areas of the product, including Auto Import and Migrations. Follow the steps below to set up a connection profile for an email account.

Authentication Type: Select the appropriate connection type required for your unique monitored email inbox. Then fill out the corresponding connection information as appropriate.

Basic Authentication

  1. IMAP URL: Fill in the IMAP URL of your email server.
    This URL is often mail.{domain}.com, such as mail.office365.com. If you do not have this information, contact your IT administrator.
  2. Port: Fill in the IMAP port number of your email server.
    • For a standard IMAP email, use port 143.

    • For a secure IMAP email, use port 993 and select the This server requires SSL check box.

    • If your email server uses a custom port, enter that custom value instead.

  3. Enter the credentials (username and password) of the mailbox to be monitored.
    Alternately, if you would like to authenticate your workstation with Windows credentials, select the Use Integrated Windows Authentication check box.
  4. Click the Connect button to test your connection.
    If the connection is successful, a Connection Success message appears.
  5. Click Save to complete the email connection profile.

OAuth2 (Microsoft Exchange Online)

  1. Client ID: Fill in this field with the Client ID of your registered email account.

    The OAuth Client ID is set up when registering an application through the Microsoft Azure web portal. Follow the steps as described on the Microsoft Knowledge Base by searching for the article "Get Microsoft Entra ID (formerly Azure Active Directory) tokens for users by using MSAL."

    Accounts using OAuth authentication for email must have the IMAP.AccessAsUser.All permission added to the registered app in Azure.
  2. Tenant ID: Fill in this field with the Tenant ID of your registered Microsoft Exchange Online email account.
  3. Authorize: Once the Client ID and Tenant ID fields are complete, this feature opens the OAuth2 authorization window to complete the standard login process through Microsoft Exchange Online.
  4. In the web browser, click the Allow Access button to approve the connection.

    After a few seconds, you can view the access information, and PSIcapture displays a message box reporting a successful connection. Successfully connected accounts have a status displayed below the Tenant ID field as Account: Email Account Authorized.

    PSIcapture may be hidden by the browser window. Do not close the web browser until the message box is displayed. The maximum wait time is 90 seconds before the attempt times out.

  5. Close the web browser window.

    If you receive an "invalid grant" error for a connection, Edit the connection and click the Authorize button to re-authorize the connection.

  6. Revoke: Select to revoke an existing OAuth2 authorization on the current machine.
  7. Email processing engine: Use this option to determine the best engine to process emails based on your unique business needs. The Aspose and MailKit processing engines will respond in different ways to different email subject matter and content, so some testing may be necessary.
  8. Click Save to complete the email connection profile.
